This file summarises the changes made between Front Desk 16.0.0 and 17.0.7 If you are running Front Desk multi-user, please ensure that you run the upgrade on all of your computers. Front Desk must be closed on all computers before running this upgrade. Run the upgrade on one computer with Front Desk installed, then start the Front Desk software on this computer as normal. When the program starts (first time only), your database may be upgraded which could take a few minutes to complete. You can now proceed to upgrade Front Desk on your other computers. -------------------------------------------------------------------------------- Enhancements Made 17.0.7 MAILCHIMP INTEGRATION - Front Desk MailChimp integration is now compliant with MailChimp's newest security requirements. - Currently this only affects users on one of the MailChimp data centres, but MailChimp will be updating all of their data centres in the near future, so it is recommended that all MailChimp users upgrade to this version to avoid future disruptions. - Removed "Last Reset" date from MailChimp Segments. This information is no longer available from MailChimp. MICROSOFT EXCEL INTEGRATION - Enhanced Excel integration in Front Desk. After opening, editing, and closing an Excel workbook from the patient's Attachments tab, the user will now be prompted to save changes directly into Front Desk. Previously this was only possible for Word documents and Front Desk Word Processor documents. PATIENT FILE - When deleting a patient file, the user must now type the word "DELETE" on the confirmation dialog that pops up. This has been introduced to prevent users accidentally deleting patients. PAYMENT TYPE - The patient's name will now be displayed in the title bar of the Payment Type window. HICAPS INTEGRATION - Front Desk will now display a message when it starts up if HICAPS integration is enabled and a HICAPS terminal hasn't been found. This message provides troubleshooting information to the user and includes the ability to search for terminals again FRONT DESK MESSENGER - Front Desk Messenger can now be used in Global mode on single user licence copies of Front Desk. Previously, Front Desk Messenger was only available in multi-user environments. This is so that users with one installation of Front Desk can communicate with one or more mobile devices. PATIENT BOOKING GATEWAY - Added "New and existing patients" and "Existing patients only" options when "Allow guest bookings" is enabled on the Edit Practitioner window in Patient Booking Gateway Configuration. - "New and existing patients" is the current default behaviour. - "Existing patients only" will prevent the practitioner being displayed to patients who select "I am a new patient" on the Patient Booking Gateway. - Added the ability to use Google Tag Manager with the Patient Booking Gateway. This provides an extra option for users wishing to track website traffic. Google Tag Manager can be configured on the Google Analytics tab in Patient Booking Gateway Configuration. - On the Defaults tab in Patient Booking Gateway Configuration, renamed "Require reason for appointment cancellation" to "Prompt patient to provide a reason for appointment cancellation". 17.0.6 DATABASE CONNECTION - Added a "Start SQL Server" button to the database connection error dialog if Front Desk is unable to connect to the SQL Server database running on the local machine. - Added more information to database connection error dialogs. SPLASH AND ABOUT SCREENS - Updated copyright on Splash and About screens. 17.0.5 FRONT DESK MESSENGER - Front Desk Messenger is now compatible with the Front Desk Messenger app for Android. 17.0.4 FRONT DESK 2017 - Updated version to Front Desk 2017. FRONT DESK MESSENGER - Added "Messenger for Android" link to Messenger tab in System Information. - Renamed "Authorised iOS Users" button to "Authorised iOS / Android Users" on the Messenger tab in System Information. HELP MENU - Added "Front Desk Messenger for Android" link to the Help menu. - Added "Open a Support Case" link to the Help menu. - Renamed "Smartsoft Helpdesk Website" to "Smartsoft Remote Access" on the Help menu. 17.0.3 WINDOWS SERVER 2016 - Front Desk is now compatible with Windows Server 2016. CLINICAL NOTES - When a new practitioner is added to Front Desk, the default Clinical Notes Templates behaviour for that practitioner will now be set to "Ask to replace or append (append by default)". MAILCHIMP INTEGRATION - Added progress bars to the "unsubscribe" stage of a MailChimp sync to provide the user with more feedback when there are a lot of email addresses to be unsubscribed. 17.0.2 MEDICARE ONLINE - This version includes the November 2016 Medicare Benefits Schedule. MAILCHIMP INTEGRATION - Updated MailChimp functionality to use version 3 of the MailChimp API. IMPORTANT NOTE: All users currently using MailChimp integration must upgrade to this version of Front Desk and synchronise with MailChimp before the 1st of January 2017. Earlier versions of Front Desk will not be able to integrate with MailChimp after this date due to MailChimp no longer supporting version 2 of their API. SMS - If an SMS delivery has failed (this could happen, for example, if the mobile number is incorrect, if the patient's phone is turned off or out of range for an extended period, or due to a network or handset error), a message will now be displayed in the Messages section of the Appointment Book. - Double-clicking on a delivery failure message allows the user to edit and re-send the SMS message. - The user can choose to add a warning to the patient's file by right-clicking on the message and selecting "Add Warning to Patient File". - Added a help menu item on failed SMS deliveries, available by right-clicking on the message and selecting "Why Do Messages Fail?". - If the patient's mobile number is changed in the Send SMS window, Front Desk will now provide the option to update the patient's file with the new number. - Changed the behaviour of the "Send SMS now / Delay Send" dialog, so that if the user cancels at this point it won't close the SMS message window as well. ACCOUNT BALANCE - DETAILED REPORT - Added ClientID to the export. BANKING SHEETS - TRANSACTION REPORT - Added ClientID to the export. PATIENT VISIT REPORT - Added ClientID to the export. TREATMENT PLAN REPORT - Added ClientID to the export. RECALL PATIENT LIST - Added ClientID to the export. PATIENT LIST - Added ClientID to the export. ACTIVE / INACTIVE PATIENTS REPORT - Added ClientID to the export. GROUP EMAIL / SMS - Front Desk will now display a message if it fails to import a .xlsx file, and will provide a link to download the Microsoft Access Database Engine, which is necessary for some versions of Microsoft Office. 17.0.0 BACKUP - Added the ability to turn off compression when backing up Front Desk. This makes the backup and restore process considerably quicker. - Improved the accuracy of the progress bars and messages during the backup process. - Improved the responsiveness of Front Desk during the backup process. - When performing a backup, the warning displayed when backing up to the C: drive will now be displayed when backing up to any local (non-removable) drive. - The last backup date is now displayed on the backup window. RESTORE - Added the ability to restore from a SQL Server .BAK file. - Improved the accuracy of the progress bars and messages during the restore process. - Improved the responsiveness of Front Desk during the restore process. APPOINTMENT BOOK - Updated the Practitioner and Practice Group tabs at the bottom of the Appointment Book. The tabs are using Windows themes, and when scrolling using the scroll arrows the mouse button can now be held down instead of requiring multiple clicks to scroll. WAITING LIST - Once a Waiting List entry has passed the "Wait Until" date, it will now be moved to the bottom of the Waiting List, displayed in red, include the word "Expired", and the default double-click action is to remove the patient from the Waiting List. PATIENT BOOKING GATEWAY - Added "Disable auto-detection of mobile devices when embedding is enabled" option to the Defaults tab in Patient Booking Gateway Configuration. BILLINGS REPORT (BY PATIENT) - The export now includes fee category. TREATMENT PLANS - Increased the maximum number of treatments in a Treatment Plan from 99 to 255. 16.9.14 RECEIPT / BILL / PAYMENT - Added two options when sending receipts or accounts via email. By default, Front Desk will "Send now using template". This will pick the default email template for the practitioner or practice, and doesn't require any further input from the user. - "Edit before sending" will display the Edit Email window to the user after the bill has been created. This option replicates the previous behaviour of this function. FRONT DESK MESSENGER - Enhancements have been made to Messenger which will prevent users from dropping out of the user list when using Messenger in Global mode. HICAPS / TYRO PAYMENTS - The patient's health fund member number and ID will now be displayed, along with their health fund, next to the HICAPS or Tyro button on the Payment Type window. The ID in particular should be checked against the patient's health fund card before sending the claim to HICAPS or Tyro. - When billing multiple linked patients, a list of the patients and their IDs will be displayed. QUOTATIONS - Added the ability to email quotations to the patient. ATTACHMENTS - Added the ability to convert Microsoft Word documents and Front Desk Word Processor documents to PDF when emailing or exporting from the patient's Attachments tab. By default Front Desk will ask the user before converting the document. Front Desk can be set to automatically convert all documents before emailing, or this feature can be turned off altogether on the Attachments tab in System Information. PATIENT FILE - The Last Appointment displayed on the patient's General tab will now be the patient's last billed appointment. Previously this would display the last appointment whether it had been billed or not. Users can revert to the previous behaviour by unticking "Last App on Patient File shows Last Billed App" on the Options tab in System Information. CASH DRAWER - Cash drawer settings are now stored locally, for each computer or user profile, so that different computers / user profiles can connect to different cash drawers. - Added cash drawer override settings to Practice Locations. This allows users who use the same user profile at different locations to set up a different cash drawer at each location. SECURITY - ACCESS - Added the ability to restrict access to the patient's SMS tab. This security option can be found on the Patient Tabs tab in Security - Access, and is enabled by default for all users who have access to the Events tab. - Added the ability to restrict access to the Patient Visit Report. This security option can be found on the Reports / Exports tab in Security - Access, and is enabled by default for all users. TRANSACTION REPORT (BANKING SHEETS / SHIFT REPORTS) - Increased the space available for printing totals on the Billed and Paid columns so that the numbers no longer overlap if the figures are in the tens of millions. SUMMARY REPORT - Increased the space available so that the Fee and Net Fee columns can run into tens of millions without overlapping other columns. BILLINGS REPORT - Increased the space available so that the Fee and Net Fee columns can run into tens of millions without overlapping other columns. BILLINGS REPORT (BY PATIENT) - Increased the space available so that the totals for the Fee, Net Fee, and Payment columns can run into tens of millions without overlapping other columns. EMAIL REMINDERS - Added the ability to use <> and <> letter tags from the single email window when it's opened from a specific appointment. These should be used in place of the <> and <> letter tags. CLINICAL NOTES - When printing Clinical Notes and including revisions, previous revisions will now be indicated in the note header, instead of being indented. TRANSACTIONS - Clicking the + symbol next to an unallocated payment on the patient's Transactions tab will now display a list of the payments made from the credit. STANDARD LETTERS - When Front Desk generates a standard letter, it will now replace any double spaces in addresses with a single space. 16.9.12 PATIENT VISIT REPORT - Added a new report - the Patient Visit Report - to the Reports menu. This can be used to find the average number of consultations practitioners are providing to their patients per new episode. MEDICARE ONLINE CLAIMING - Updated the Patient Claims Lodgement Advice to meet Medicare's latest requirements. - Updated the Patient Claims Statement of Claim and Benefit Payment to meet Medicare's latest requirements. - These changes to statements and declarations have been approved by the Department of Human Services and will take effect from 1st July 2016. - Improved the process of allocating Bulk Bill / DVA payments when paying off multiple items. This means that there will be fewer times when Front Desk is unable to automatically allocate payment. PAYMENT - Added Print and Email buttons to the payment types window. This allows users to ask the patient about receipt options later in the billing process. CLINICAL NOTES - When adding a new practitioner, permissions to use Clinical Notes Quick Buttons and Conditions/Regions/Stages will now be automatically assigned. SMS REMINDERS - Long SMS replies (up to 1500 characters) can now be returned to Front Desk. - Changed the <> letter tag. This is now the practitioner's name only. Previously this would be replaced by the practitioner's name and location. - Added <> letter tag. This is replaced by the practitioner's location (as recorded on the practitioner's file) when using SMS / Email Reminders from the Appointment Book, or when sending an individual SMS after opening a patient's file by double-clicking on an appointment. PATIENT BOOKING GATEWAY - Added the ability to reorder Booking Locations and Professions. - Added an "Only available for classes" option when setting up practitioners in Patient Booking Gateway Configuration. - The number of registered and selected practitioners will now be displayed on the Practitioners tab in Patient Booking Gateway Configuration. - When configuring the Patient Booking Gateway, archived class types will no longer be displayed. - If a Patient Booking Gateway practitioner has been removed from the Appointment Book, the practitioner will now automatically be made unavailable for the Patient Booking Gateway. - Practitioners who have been removed from the Appointment Book, but who are still marked as "Available for Patient Booking Gateway" will now be displayed in grey on the Practitioners tab in Patient Booking Gateway Configuration. GROUP APPOINTMENTS - Added the ability to reorder group appointment class types. FRONT DESK MESSENGER - Improved Messenger's ability to recover its connection after a network drop-out (due to a poor internet connection, for example), when using Global Mode. 16.9.10 SMS INTEGRATION - SMS are now recorded in the SMS tab on the patient's file, with SMS replies to a message visible by clicking the + symbol next to the message. - It is now possible to see SMS delivery times in Front Desk (only for SMS sent from version 16.9.10 and above). The delivery status (delivered, scheduled, pending, or failed) is displayed on the patient's SMS tab. APPOINTMENT BOOK - Added "Reason Required for Reschedule" option. This is turned off by default, and can be enabled on the Warnings tab on the Appointment Book tab in System Information. - Added "Next Recall" to the tooltip displayed when hovering the mouse over the appointment. - Front Desk will now display the text of a reminder SMS, along with the delivery time, in the tooltip displayed when hovering the mouse over an appointment. - Added the ability to restrict access to adding / deleting rule-outs. This security option can be found on the General tab in Security - Access, and is enabled by default for all users who have Edit Appointment access. WAITING LIST - When adding a patient to the Waiting List, Front Desk will now automatically select the default appointment type, intervals, and width, if there is a single default which applies to all selected practitioners / practice groups. - Slightly increased the width of the Waiting List window. - Changed "Slots" to "Intervals" to make the Waiting List consistent with other areas of Front Desk. PATIENT EVENTS - When editing an event, added a Copy button to easily copy the contents of the event to the clipboard. EMAIL - Improved Outlook 2016 compatibility. ACTIVE / INACTIVE PATIENTS REPORT - Added "Exclude patients on the Waiting List". This option is enabled by default. FRONT DESK MESSENGER - Added the ability to send long messages. Previously, long messages would fail to send. Messages over a certain length will be split over several messages at the recipient's end. - Added the ability to send blank messages consisting of one or more spaces. - When setting up Global Messenger in Front Desk, removed the "Request/Reset Global Channel" button. A global channel will now be automatically allocated when turning on Global Messenger for the first time. PATIENT BOOKING GATEWAY - When editing Patient Booking Gateway email templates, a vertical scrollbar will now be displayed, if needed. - Redesigned Edit PBG Email Template window. - In Edit Profession, changed "Appointment Types" to "Existing Patient Appointment Types". - Increased the height of the Edit Booking Location window so that more Opening Hours can be displayed at one time. - Added a vertical scrollbar to the Opening Hours when editing a Booking Location, if it's needed. SMARTSOFT HELPDESK - In Windows 10, Ctrl-H will now open Edge instead of Internet Explorer. HELP MENU - Added "Smartsoft Community Support Forum" to the Help menu. - Added "Front Desk Messenger for iOS" to the Help menu. - Rearranged / reworded some items on the Help menu. SYSTEM INFORMATION - Added "Front Desk Messenger for iOS" link to the Messenger tab. 16.9.9 PROVIDER NUMBERS - Front Desk is compatible with new provider numbers (beginning with "A") which are now being issued by Medibank. FRONT DESK MESSENGER - Improved stability of Front Desk Messenger. 16.9.7 FRONT DESK MESSENGER - Significant enhancements made to Messenger when in Global mode. - Front Desk Messenger is now compatible with the upcoming iOS Messenger app. If you are interested in trying the new app, please contact Smartsoft to find out how to become one of our beta testers. *Note: emoji sent from the iOS app are currently not compatible with the desktop application. - Changed name from Front Desk Office Messenger to Front Desk Messenger. BILLING DETAILS - Added the ability to reorder the account tabs on the patient's Billing Details tab. This is done by right-clicking on the account tab and selecting "Edit Account Tab Order". - Changed the default order of patient account tabs. All inactive accounts have been moved to the right of the active accounts. When creating a new patient account, it will now be added to the left of other accounts. When deactivating an account, it will automatically be moved to the right of the active accounts. X-RAYS - Front Desk is now compatible with a wider range of DICOM image formats. PATIENT BOOKING GATEWAY - Added letter tags <>, <>, <>, and <> to Patient Booking Gateway email templates. - Double-clicking on Patient Booking Gateway appointment cancellations in the messages section of the Appointment Book will now open the patient file. - Added a "Patient File" option to the context menu for PBG appointment cancellations in the messages section of the Appointment Book. - Added "Allow patients to reschedule their appointments" option to the Defaults tab in Patient Booking Gateway Configuration. Previously this functionality was controlled by the "Allow patients to cancel their appointments" option. - Contact requests in the Messages section of the Appointment Book will now include location information, if relevant. STATEMENTS / INVOICES - Added Reporting Groups to Statements and Invoices (this includes the Account Balance Report, and the Owing At Report). Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. TRANSACTION REPORT - Added Reporting Groups to the Transaction Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. MEDICARE / DVA PAYMENTS REPORT - Added Reporting Groups to the Medicare / DVA Payments Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. BANKING SHEETS / SHIFT REPORTS - Added Reporting Groups to Banking Sheets / Shift Reports. This includes the Transaction, Payment Transactions, Banking Sheet, Summary, and Medicare / DVA Payments reports. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. APPOINTMENT BOOK - When the "Appointment Made For Non-Default Practitioner" warning option is enabled, a warning will now be displayed when dragging and dropping appointments, or when using the "Change Appointment" or "Make Next Appointment" functions. Previously, this warning would only be displayed when making a new appointment. PATIENT LIST REPORT - When filtering by Reporting Group, the name of the Reporting Group will now be printed at the top of the report. SMS / EMAIL INTEGRATION - Improved performance when sending individual or group SMS and emails. SMS INTEGRATION - When sending an SMS batch, the figures in the Account Details section will now not be updated until after the "Messages sent successfully" message has been displayed. 16.9.6 FRONT DESK 2016 - Updated version to Front Desk 2016. MEDICARE ONLINE CLAIMING - When a non-standard referral period is entered for a Bulk Bill claim, the additional service text sent with the claim has been abbreviated to allow more space for extra details, if needed. PATIENT BOOKING GATEWAY - Added the option to offer appointments for random practitioners when the "Any Available Practitioner" option is selected. This option can be found on the Defaults tab in Patient Booking Gateway Configuration. APPOINTMENT SCHEDULE - When printing an appointment schedule, the calendar days containing appointments will now be printed in bold, as well as highlighted in yellow, so that they are easier to see on a greyscale print-out. 16.9.5 PATIENT SEARCH - Added the ability to search on a patient's date of birth. - The patient's age is now displayed on the patient search window. - When the columns in the patient search window are re-ordered, their positions will now be saved. Different column ordering will be saved for each search criterion. - To reset all columns to their default positions, right click on the grid and select "Restore Column Defaults". APPOINTMENT BOOK - Added the option to display dates on the column headers in Appointment Book Week View. This option can be found on the General tab of the Appointment Book tab in System Information. - Appointment Cancellation emails will now include basic information (date and time of appointment, and the patient's name) in the subject line. FRONT DESK MESSENGER - Made some enhancements to Messenger when the message scope is set to Global. 16.9.4 PRINTING - Changing the printers in Windows (e.g. deleting, installing, or renaming a printer) will no longer require a restart of Front Desk for the changes to take effect. This will be of benefit to Remote Desktop users especially. - When running Front Desk in a Remote Desktop environment, it will now be possible to set, and save a default printer using Printer Setup. This functionality was previously disabled when using Remote Desktop. TREATMENT PLANS - Added the ability to track items in an Item Group in a Treatment Plan. This works in the same way as tracking an Item Code or Schedule. MEDICARE ONLINE - This version includes the November 2015 Medicare Benefits Schedule. - Added an Export to CSV / Excel function to the Medicare Claims window. This will export details of all claims in the current view. GST RECONCILIATION REPORT - Added Reporting Groups to the GST Reconciliation Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. FUTURE INCOME REPORT - Added Reporting Groups to the Future Income Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. TYRO HEALTHPOINT REPORT - Added Reporting Groups to the Tyro HealthPoint Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. HICAPS REPORT - Added Reporting Groups to the HICAPS Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. STOCK ORDER REPORT - Added the ability to filter the Stock Order Report by Item Group. STOCK LEVELS REPORT - Added the ability to filter the Stock Levels Report by Item Group. 16.9.3 MICROSOFT OFFICE 2016 - Front Desk is now compatible with Word 2016 and Excel 2016. SQL SERVER 2014 - Added SQL Server 2014 compatibility. TREATMENT PLANS - If treatment plans have been set up for a patient, it is now possible to view them in the Appointment Book by moving the mouse pointer over the patient's appointment. This will show how many treatments the patient has had, the total number of treatments in the treatment plan, and the number of treatments the patient has had in the current calendar year. - The current number of treatments in the treatment plan and in the current calendar year can also be seen by clicking the "Treat. Plan" button on the patient's Billing Details page. TIME MANAGEMENT REPORT - Added Reporting Groups to the Time Management Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. EVENTS REPORT - Added Reporting Groups to the Events Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. FRONT DESK MESSENGER - Added the ability to add authorised users for the upcoming Front Desk Messenger iOS app. This is done via the Add Authorised User button on the Messenger tab in System Information. REPORTS - If no Item Groups have been set up, the Item Groups option won't be available on any reports. 16.9.2 PDF - Improved compatibility of PDFs generated by Front Desk's reports. FRONT DESK MESSENGER - Added the ability to copy messages by right-clicking and selecting Copy Message. 16.9.0 REPORTING GROUPS - Added the ability to create Reporting Groups. These allow practitioners to be grouped independently of their Practice Groups for reporting purposes. - Reporting Groups can be created on the Groups tab of System Information. The Groups tab contains both Practice Groups and Reporting Groups, and replaces the old Practice Groups tab. TRANSACTION REPORT - Added Reporting Groups to the Transaction Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. - Added the ability to filter the Transaction Report by Item Group. PATIENT REFERRALS REPORT - Added Reporting Groups to the Patient Referrals Report. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. PATIENT LIST - Added Reporting Groups to the Patient List. Both Practice Groups and Reporting Groups can be found in the Group drop-down box, which replaces the old Practice Group drop-down. - Added the ability to filter the Patient List by Item Group. ITEM CODES REPORT - Added the ability to filter the Item Codes Report by Item Group. SMS REMINDERS - Added the ability to send iCalendar links with SMS appointment reminders. This allows patients to click on a link in the SMS which will add the appointment as a calendar entry on their device. This option is available on the group SMS and single SMS windows when sending appointment reminders only. - Check the "Add a calendar link to SMS reminders" option to send an iCalendar link, along with accompanying text. - Added "Automatically add calendar link to SMS reminders" option to the SMS tab in System Information. - Added the ability to use <> and <> letter tags from the single SMS window when it's opened from a specific appointment. These should be used in place of the <> and <> letter tags. REMINDERS - Changed the Update Existing Patients function to add the ability to remove reminders, SMS reminders, and email reminders from all patient files and future appointments. PRACTITIONERS - Added a Reminders tab. This contains configuration settings for calendars sent in SMS appointment reminders. The description, address, and notes which will be added to patients' calendars can be configured here. - Moved "No Hicaps/Tyro claims for this practitioner" option to the HICAPS/ Tyro tab. - Moved "Email practitioner when an appointment is cancelled" option to the Appointment Book tab. - On the Practitioner Search window, archived practitioners are now displayed in a grey font. FRONT DESK OFFICE MESSENGER - Added a Global Messenger option. This allows practices to use Messenger to send messages between multiple locations. - On the Messenger tab in System Information, select Global and then click Request Global Channel. This will take a few seconds to authorise a global channel for your practice. - Updated the Front Desk Office Messenger user interface. PRACTICE GROUPS - Practice Groups on the Groups tab in System Information are now ordered alphabetically. EMAIL - Added support for sending email using Office 365's SMTP server. - Added support for sending MAPI email via Outlook 2016. - Increased the length of email addresses for patients, practitioners, referrers, and contacts from 50 to 100 characters to allow more space for multiple email addresses to be entered. MEDICARE / DVA ONLINE CLAIMING - When submitting a DVA claim for a white card holder, Front Desk will now remember the specific condition being treated and automatically fill in these details next time a DVA claim is submitted for the patient. The condition can be edited if it has changed. - The white card holder condition is now restricted to 100 characters to meet Medicare requirements. PATIENT BOOKING GATEWAY - Added "Restrict Booking Time" option to the Defaults tab in Patient Booking Gateway Configuration. This allows the practice to prevent patients from booking appointments within a set time of the appointment time. - Reordered the tabs in Patient Booking Gateway Configuration. - When adding a new Booking Location, the opening hours are now automatically populated with the days of the week. ITEM CODES - On the Item Search window, archived item codes are now displayed in a grey font. APPOINTMENT BOOK RULES - Only rules for practitioners who are active, or who have columns in the Appointment Book, will be displayed to the user when viewing rules. 16.8.0 WINDOWS 10 - Enhancements have been made to make Front Desk Windows 10 compatible. SMS - Added the ability to send long SMS messages (longer than 160 characters). - Sending a long SMS will cost more SMS credits, so Front Desk will now warn the user before sending if the message is going to use more than 1 credit. - The maximum length of SMS which can be sent is now 1527 characters. - Redesigned the "Send Single SMS" window. The number of characters remaining until an extra SMS credit is required is displayed at the top of the message window. The total SMS length and number of credits required are displayed underneath the message. - Added "SMS credits required" to the Account Details section of the Select SMS Recipients window, displayed when sending multiple SMS. - Changed the message which is displayed when there are not enough SMS credits remaining. This message will now take the user directly to the Smartsoft website to allow them to purchase extra SMS credits, if they choose. - Added the ability to receive SMS replies longer than 160 characters. In previous versions long replies would be received, but cut off at 160 characters. iCALENDAR - Improved the speed of iCalendar integration. 16.7.0 MEDICARE / DVA ONLINE CLAIMING - Front Desk's Medicare Online Claiming integration has been upgraded and is now certified to work with a more recent version of the Medicare software. - Medicare's support for the older version of Medicare Online Claiming will end on 1st July 2015. Please note that this does NOT mean Medicare Online Claiming will stop working, but helpdesk support will no longer be provided by Medicare for anyone running an older version. - Added the ability to add request details to diagnostic imaging claims. This is done by editing the item information on the "Patient Details and Transactions" page when creating a claim. Extra fields have been added for Self-Deemed Code, Requesting Provider, Request Issue Date, and Request Override. Note: request details can not be added to the same items as referring doctor details. - Updated details on Medicare / DVA statements to meet the latest requirements. - Updated details on Bulk Bill and DVA reports to meet the latest requirements. - Updated the Medicare Online Claiming URL in System Information. APPOINTMENT BOOK MESSAGES - Double-clicking on a Smartsoft message containing a URL will now take the user to the website. Users can also right-click on the message and select the URL. APPOINTMENT BOOK RULES - Added an Expiration option to Appointment Book Rules. This allows rules to be automatically removed from the list when they are no longer in use. Expired rules are still shown in the Appointment Book, and can be viewed in Rules by ticking the "Show Archived and Expired Rules" option. - Added a Clean-up function. Clicking this button will automatically expire any old rules. - This function is useful for practices with hundreds of rules, which are often difficult to navigate when trying to determine which rules still affect the Appointment Book. APPOINTMENTS - Added "Next/prev app range shown as" option to the Options tab in System Information. This gives users the ability to change the description of the length of time since (or until) an appointment. It can be set to "Months, Weeks,Day", or "Weeks,Days". LETTER TAGS - Added gender-neutral pronouns for the following letter tags for patients with no gender recorded on their file. <> them <> their <> theirs <> they 16.6.0 WORKCOVER QUEENSLAND ELECTRONIC INVOICING - This version includes a pre-release of WorkCover Queensland Electronic Invoicing which allows invoices to be transmitted directly from Front Desk to WorkCover Queensland over the Internet. - Enable WorkCover Queensland Electronic Invoicing by ticking this option on the "Health Fund / EFTPOS / Medicare" tab on the Advanced tab in System Information. - This will add a WorkCover Queensland tab to System Information where Front Desk can be configured with the clinic's WCQ account details. - When generating individual invoices for patients, a "WorkCover QLD" button has been added. Use this button to submit an invoice to WorkCover Queensland. - Select "WorkCover Queensland Invoices" from the System menu to view your WorkCover Queensland invoice history. BPAY - Added the ability to change the check digit routine used to generate valid BPAY Customer Reference Numbers. Different banks require different check digit routines. When setting up BPAY for the first time, contact your bank to find out which you should use. - To the best of our knowledge, in Australia there are two check digit routines in common use. These are "Mod 10 v1" and "Mod 10 v5". - NAB uses "Mod 10 v1". - Westpac and ANZ use "Mod 10 v5". - Commonwealth Bank customers can use either "Mod 10 v1" or "Mod 10 v5". - If you have previously enabled BPAY in Front Desk, patients' BPAY CRNs will be automatically regenerated after changing the check digit routine. A password must be obtained from Smartsoft in order to do this. - If you change the check digit routine and regenerate CRNs for patients, it is still possible to search for a patient using their old BPAY CRN. Previous CRNs can be viewed by moving the mouse over the BPAY CRN field on the transactions tab of the patient's file. APPOINTMENT BOOK - Front Desk will now display a different icon on appointments made through the Patient Booking Gateway if the patient has added their own notes to the appointment. - When editing a casual appointment, users can now press Enter instead of clicking OK to close the window. 16.5.4 PATIENT SEARCH - Enhanced the patient search window, so that changing the "Search on" criteria doesn't clear the current search characters. 16.5.3 MEDICARE / DVA PAYMENTS REPORT - The Medicare / DVA Payments Report will now print the practitioner's provider number next to each payment run number, to make it easier for practices to reconcile payments against bank statements. TREATMENT PLANS - It is now possible to automatically include details of treatment plans in standard letters by using the following new letter tags: Start Date: <> Alert: <> Current Treatments: <> No of Treatments: <> Alert Value: <> Current Value: <> Value of Treatments: <> APPOINTMENTS - The patient's Appointments tab is now ordered with the most recent appointment on top by default, but this can be changed to whichever order you choose by clicking the title of the grid. 16.5.2 SPLASH AND ABOUT SCREENS - Updated logo and font on Splash and About screens. APPOINTMENT BOOK COLOURS - Removed the restriction when editing Appointment Book colours. Users can define custom colours for the Appointment Book, appointment types, rules, statuses, and holidays. - Custom colours will now be saved once they have been set up, meaning the same colours are used across all colour selection dialogs in Front Desk. PATIENT BOOKING GATEWAY - The Patient Booking Gateway will now prevent users from booking themselves into classes scheduled earlier on the same day. 16.5.1 MAILCHIMP INTEGRATION - Improved speed of MailChimp upload. - Improved MailChimp upload progress bar. 16.5.0 RECEIPTS / ACCOUNTS / PAYMENTS - Added the ability to email receipts, accounts and payments at the time of billing. - Front Desk will remember each patient's receipt preferences, and default to these settings next time the patient is billed. - Added a new "Receipt / Bill / Payment" section on the Defaults tab in System Information. Added an option to "Email Receipt / Bill / Payment". Also added the ability to select a default email template for emailing receipts. - Moved the "Print Receipt / Bill / Payment" option from the Options tab to the Defaults tab. - Added a "Default Template for Email Receipts" option to the practitioner's file. When set, this overrides the practice default. - When emailing a receipt, if the email address is changed to one not already recorded on the patient's file, Front Desk will give the user the option to automatically change the patient's email address on their file. APPOINTMENT CANCELLATION NOTIFICATIONS - Added the ability to automatically send a cancellation notification email when an appointment is cancelled. This option can be found on the general tab of the practitioner's file. The practitioner must have a valid email address for this to be enabled. - Each time a user deletes an appointment they are given the option to email a notification to the practitioner. The option is automatically selected for practitioners who have it enabled on their file. Practitioners without an email address won't see the option at all. - Cancellation emails are not sent if a past appointment is deleted. - It can be turned off completely by disabling it on the Warnings tab of the Appointment Book tab in System Information. ITEM REPRINT - Redesigned the Item Reprint window. - Added Print and Email options (previously, Print was the default behaviour). SMS SENDER - Added the ability to send a Sender ID with SMS messages. When this is used, messages on the recipient's phone will appear to have been sent from this ID. The Sender ID can be up to 11 characters long, and cannot contain spaces. - This option can be enabled on the SMS tab in System Information. - Replies to SMS messages which include a Sender ID cannot be returned to Front Desk, however if a mobile number is entered as the Sender ID, replies will be returned to this number instead. If you would like replies to be returned to your mobile, the mobile number must include the international dialling code for Australia. e.g. "61400123456". - Please note: this feature is only available for Front Desk users in Australia. PATIENT BOOKING GATEWAY - Added the ability to display appointment fees on the Patient Booking Gateway. To allow this, it is now possible to link Appointment Types to Item Codes. Currently this only affects the Patient Booking Gateway. - Created a Patient Booking Gateway tab on the Edit Appointment Type window and moved the Patient Booking Gateway settings to there. Users can set a different default item code per practitioner per appointment type. - Added a Show Appointment Fees option to the Edit Profession window. When enabled, a warning message will be displayed if item codes have not been linked to appointment types. Any appointment types which aren't linked to an item code are highlighted in red. - Added a "Display fees for guest bookings" option to the Guest Bookings tab in Patient Booking Gateway Configuration. When enabled, the user must select a fee category to be used for guest patients. - Added "Allow Booking Gateway to be embedded in an existing website" option to the Defaults tab in Patient Booking Gateway Configuration. - Added a Google Analytics tab to Patient Booking Gateway Configuration. This provides the user the option to add Google Analytics JavaScript to track website activity. - Added the ability to edit appointment types directly from the Edit Profession window. - Added the ability to prevent selected class types from being displayed in the Patient Booking Gateway. This can be configured on the Classes tab in Patient Booking Gateway Configuration. - On the patient file, renamed the "Allow patient to book in all Group Appointments" option to "Use practice default settings". - When matching new Patient Booking Gateway registrations to existing patients, archived patients will now be ranked lower than other patients. Archived patients will also be displayed in grey. - On the Linked Patients tab on the patient file, Front Desk will now display the file number and date of birth of linked patients, along with their name, to make them easier to identify. - It is now possible to double-click on the name of a linked patient to bring up their patient file. - When a linked patient has been created via the Patient Booking Gateway, Front Desk will display the name of the main account holder in the Messages section of the Appointment Book, and when processing the new patient. TYRO HEALTHPOINT - Added a "Tyro Only" option to the payment amount drop-down list on the Billing and Payment windows. This option allows the gap to be left unpaid when you don't know how much the health fund rebate is going to be. - Added health.com.au to the funds recognised by Tyro HealthPoint claiming. MEDICARE EASYCLAIM - Added the ability to submit an LSPN (Location Specific Practice Number) when using Medicare Easyclaim (for both HICAPS and Tyro). This is required for Medicare to pay some diagnostic imaging service claims (e.g. X-rays). This is submitted automatically for all Diagnostic Imaging Service items. - On the practitioner file, the practitioner's provider number will now be checked to ensure it's valid when Medicare Easyclaim is enabled. Previously, this check would only take place on systems with Medicare Online Claiming. APPOINTMENTS - Double-clicking on an appointment on the Appointments tab of the patient file will now take you to the correct location in the Appointment Book. - Improved speed when printing appointments from the Appointments tab on the patient file when group appointments are included. SMS / EMAIL - Added a progress bar when preparing to send a batch of emails or SMS from patient reports. REPORTS - When producing reports, all report functions will now be disabled until the report is complete to prevent errors occurring. iCALENDAR - Improved the speed of iCalendar integration, especially for clinics with a large number of group appointments. SPLASH AND ABOUT SCREENS - Updated font and copyright on Splash and About screens. EFTPOS PAYMENTS - When attempting to process EFTPOS payments for multiple accounts (HICAPS) or multiple merchant IDs (Tyro), Front Desk will now display a more user- friendly message. USER ACCESS SECURITY - Front Desk will now record in the audit log any time a new user is added. - Front Desk will now record in the audit log any time a username or password is changed. - Front Desk will now record in the audit log any time a user's access settings are modified. - Moved "Events" from "Patient File" to the "System Setup" section. AUDIT LOG - Added IP Address field to the Audit Log. BILL / PAYMENT - Rearranged the buttons at the bottom of the Bill and Payment windows. 16.4.0 FRONT DESK 2015 - Updated version to Front Desk 2015. MAILCHIMP INTEGRATION - Front Desk now has MailChimp integration. This allows a Front Desk user with a MailChimp account to upload their patient list to MailChimp for the purpose of sending out marketing campaigns. - Front Desk will keep track of modified, archived or deleted patients, and keep MailChimp in sync with these changes. - Front Desk also supports MailChimp segments as an easy way of sending out campaigns to groups of patients, e.g. use the Active / Inactive Patients report to select patients who haven't been to your practice recently, or use the Patient List to select patients based on their tracking categories. - MailChimp provides customers with an "API key" which should be entered into Front Desk on the MailChimp tab in System Information. Clicking the "Connect to MailChimp" button will verify your API key and retrieve account information from MailChimp. - Front Desk displays MailChimp lists on the MailChimp tab in System Information (lists must be created on the MailChimp website). One MailChimp list must be selected to sync with your Front Desk patient list. - We recommend setting up one MailChimp list. This will contain all of your Front Desk patients. - Users can choose whether to upload all patients, or to exclude archived patients. - Before syncing your patient list with MailChimp, Front Desk will check for any patients who have the same email address. Because you can't have duplicate email addresses in your MailChimp list, Front Desk will prompt you to select a main contact for all email addresses used by multiple patients. The main contact is the one whose details will be sent to MailChimp, e.g. if you have a family all of whom have the same email address, you might select one of the parents to be the main contact. - If you choose not to select a main contact for an email address, no patients with that email address will be synced to MailChimp, and you will be prompted again next time Front Desk performs a sync. - There is a MailChimp button, located next to the Email field on the General tab of the patient file (for patients where a duplicate email address exists). This allows you to change the main contact for the patient's email address. - To unsubscribe a patient from MailChimp, untick the MailChimp checkbox on the General tab of the patient's file. Patients unsubscribed in this way can be re-subscribed at a later date by checking this option again. - Patients who have chosen to unsubscribe from your mailing list via MailChimp (by clicking unsubscribe in the email), or who have been automatically unsubscribed because emails to their address were bouncing, cannot be resubscribed to MailChimp through Front Desk. - Segments can be viewed and created by clicking the MailChimp button on the Recall Patient List, Active / Inactive Patients report, Birthday List, Patient Referrals report, Patient List, and Events Report. - Front Desk allows you to view your existing segments, add new segments, reset, and delete segments. The "Add to Segment" option adds all of the patients generated by the Front Desk report to the selected segment. - Before adding patients to a segment, Front Desk will perform a sync with MailChimp. - Front Desk sends the following fields to MailChimp: Title, first name, surname, preferred name, address lines 1, 2 and 3. These fields can be used in MailChimp emails using MailChimp's merge tags. - Added two new user access security options: "Allow access to MailChimp configuration (System Information)" and "Allow access to MailChimp segments via Front Desk reports". These options can be found on the Reports / Exports tab in Access Security. By default, both options are turned on for all users. SECURITY - Renamed the Reports tab to "Reports / Exports" in Access Security. Added a MailChimp section. STANDARD SMS REPLIES - Standard SMS replies to SMS reminders for patients in group appointments will now change the group appointment status for those patients. Previously this would only work with single appointments. TRANSACTIONS - Improved speed of patient's Transactions tab for clinics with a large number Medicare Online claims. TYRO - Added support for the latest version (1.2.37) of the Tyro Terminal Adapter software (TTA). Tyro users must install the latest version of the TTA to continue using Tyro integration. - The Tyro HealthPoint report will now display the correct health fund name for non-consolidated health funds. Previously it would display "Unknown Fund". Please note: this does not apply to health fund claims processed prior to installation of this version. MEDICARE ONLINE - This version includes the November 2014 Medicare Benefits Schedule. SMS / EMAIL REMINDERS - Added filters for Appointment Type and Appointment Status when sending SMS/Email Reminders. CLINICAL NOTES - Added option to print the Last Modified date on Clinical Notes. 16.3.0 HICAPS - Front Desk is now compatible with the latest version of HICAPS Connect (1.0.3.32). In this version, HICAPS have added compatibility with Windows Server 2008 R2, Windows Server 2012, and Windows Server 2012 R2. - To continue using HICAPS integration after upgrading Front Desk, users must also upgrade their HICAPS Connect software. - Users with HICAPS integration enabled will be prompted to download the HICAPS Connect update when they run Front Desk. - Front Desk will now give users the option to download HICAPS Connect if they enable HICAPS integration on a computer without a HICAPS Connect installation. - Renamed the HICAPS Reports Only option in System Information to HICAPS Reports. This option is always set when HICAPS health fund claiming is enabled. It can be turned on regardless of the terminal type. GROUP APPOINTMENTS - When adding patients to a recurring group appointment, added the ability to select which appointments the patient should be added to. By default all future group appointments in the schedule will be selected, except those which are already full. It is possible to select the full group appointments as well. Doing this will automatically increase their maximum class size. - When setting up a recurring group appointment, changed the behaviour when using the "End by date" option to prevent the appointment list from updating while the user is typing a date. - When setting up a recurring group appointment, set minimum and maximum allowable dates, to prevent accidentally entering past dates, or dates more than 50 years in the future. - When deleting a group appointment from the group appointment recurrence tab, Front Desk will now only ask for a reason for deleting the appointment if the "Reason required for deletion" option is set. TYRO - Added a Tyro HealthPoint Reports option in System Information. This option is always set when Tyro health fund claiming is enabled. It can be turned on regardless of the terminal type. Previously the Tyro HealthPoint Report was only available on PCs with Tyro integration. SMS / EMAIL REMINDERS - Added <> and <> letter tags when sending SMS / Email appointment reminders. These can be used instead of <> and <>. These tags will be replaced with the details of all appointments in the list. This is especially useful when selecting a date range in which a patient has multiple appointments. MEDICARE / DVA ONLINE - Updated the Bulk Bill Declaration (DB4) to meet Medicare's latest requirements. - Updated the DVA Health Practitioner Service Voucher (D1216S) to meet DVA's latest requirements. - Updated the Patient Claims Lodgement Advice to meet Medicare's latest requirements. - Updated the Patient Claims Statement of Claim and Benefit Payment to meet Medicare's latest requirements. - These changes to statements and declarations have been approved by the Department of Human Services. - Added the ability to submit an LSPN (Location Specific Practice Number) as part of patient and bulk bill claims. These notes are displayed to the practice in a read-only field ("Patient's Notes") when editing an appointment. They are also displayed in the tooltip when hovering the mouse over the appointment. - Added "Guest Bookings" tab to Patient Booking Gateway Configuration. - Added "Allow guests to cancel appointments" option to Guest Bookings tab. - Added "Allow guests to book subsequent appointments or classes" option to Guest Bookings tab. - Added "Allow guests to reschedule appointments" option to Guest Bookings tab. - Moved "Guest Bookings" section from "Classes" tab to "Guest Bookings" tab and renamed it "Group Appointments / Classes". - When the "Allow patient to book in the following classes" option is selected on Patient -> Appointments -> Patient Booking Gateway -> Group Appointments, the user will now be forced to select at least one class type from the list. PRINT APPOINTMENTS - Added extra options to the Print Appointments function on the patient's Appointments tab. Users can now choose to print appointments, group appointments, or both, and can also select a class type. - The report will now have the selected options printed at the top. APPOINTMENT BOOK RULES - When adding / editing rules, if a practitioner is selected who hasn't been added to the Appointment Book, a message will be displayed. 16.2.3 TRANSACTIONS - Improved speed of the Transactions tab on the Patient file, especially when unticking the "Outstanding Transactions Only" option on files with a lot of linked accounts. EVENTS - On the Events tab on the Patient file, removed the highlight colour in the grid to make it easier to view colour-coded event types. 16.2.2 APPOINTMENT BOOK - Improved speed of Appointment Book when changing between practitioner or practice group tabs. This improvement will be especially noticeable on larger databases. - When moving an appointment made via the Patient Booking Gateway, Front Desk will now remember that it's a Patient Booking Gateway appointment. Previously, this information was being lost if the appointment was rescheduled through Front Desk. CLINICAL NOTES - Added Default Clinical Notes Type option to the General tab on the Clinical Notes tab of the practitioner file. - Added "Quick Add" button. This will create a new Clinical Note using the practitioner's default Clinical Notes Type, if one has been set on the practitioner file. This speeds up the Clinical Notes entry process - it means the practitioner doesn't need to select a Clinical Notes Type every time they add a new note. - Renamed "Add" button to "New Note". - Added a new security option - "Edit Clinical Notes practitioner" on the Clinical Notes tab in Security - User Access. This option is turned on by default. Turning this option off prevents users from changing the practitioner's name recorded with each Clinical Note. Users with this option turned off must enable "User is a practitioner" in order to add new Clinical Notes. - Added the ability to set a default font per Clinical Notes Type per practitioner. Previously it was only possible to have a single default font for all Clinical Notes Types. TYRO INTEGRATION - Removed the option to disable EFTPOS integration when Tyro integration is enabled. - When submitting a Tyro HealthPoint claim, if a profession hasn't been set for the practitioner an error message will be displayed and the claim will not be submitted. TYRO HEALTHPOINT REPORT - Added a Tyro HealthPoint Report to be used when reconciling health fund payments. This can be found under the Reports menu for clinics with Tyro integration. HICAPS - Changed the declaration printed on HICAPS receipts for Store and Forward claims (when printing HICAPS receipts through Front Desk instead of through the HICAPS terminal). PAYMENTS - Increased the height of the Payments window. - Added ability to resize the height of the Payments window. WRITE OFF / FEE REDUCTION - Increased the height of the Write Off / Fee Reduction window. - Added ability to resize the height of the Write Off / Fee Reduction window. APPOINTMENT BOOK RULES - When adding a rule for a specific practitioner, the practitioners are now listed alphabetically. STANDARD LETTERS - Increased the height of the patient letters window (on the patient's Billing Details window). PATIENT BOOKING GATEWAY - On the Defaults tab in Patient Booking Gateway Configuration, changed "Allow first appointment to be made via Patient Booking Gateway" to "Allow verified patients to make first appointment". - Front Desk will allow the Website Address on the Clinic Details tab of Patient Booking Gateway Configuration to begin with "https://". Previously this was restricted to "http://" only. RESTORE FROM BACKUP - Front Desk will now display a user-friendly message when attempting to restore a backup from SQL Server 2000 into SQL Server 2012 or SQL Server 2014. FRONT DESK LOGINS - Added a Refresh button to the Front Desk Logins window (accessed via the Network tab in System Information). TRANSACTIONS - Altered layout of Edit Date of Entry window. 16.2.1 TYRO INTEGRATION - Front Desk now has Tyro certification, giving users the option to integrate with a Tyro terminal. - Tyro terminals are an alternative to HICAPS. EFTPOS, private health fund, and Medicare EasyClaim claims can all be processed through a Tyro terminal. - EFTPOS and private health fund transactions processed through Tyro can be viewed by selecting Tyro Transactions from the System menu. - Easyclaim claims can be viewed by selecting Medicare Easyclaim Claims from the System menu. - Please contact Smartsoft for further information about integrating Front Desk with Tyro. SMS - Improved SMS sending to allow Front Desk to reconnect to the Smartsoft SMS server after a temporary connection issue (e.g. if after a loss of internet connection). 16.2.0 APPOINTMENT BOOK - Added the option to view available resources in the Appointment Book. If the user selects an area of the Appointment Book and hovers the mouse over the selected area, the resources available at that time will be displayed. Available resources will also be displayed in the tooltip of an Appointment, Group Appointment, or Casual Appointment. - This option can be turned on by checking "Show available resources on Appointment Book", which can be found on the Appointment Book tab in System Information. ITEM GROUPS - Added the ability to group item codes together for the purpose of reporting. The Billings Report and the Patient Referrals Report have been modified to allow filtering by Item Group. - Item Groups can be created by selecting Item Codes and then Item Groups from the File menu. BILLINGS REPORT - Added the ability to filter the Billings Report by Item Group. PATIENT REFERRALS REPORT - Added the ability to filter the Patient Referrals Report by Item Code, Schedule, or Item Group. PATIENT BOOKING GATEWAY - Added a Linked Patients tab to the Patient Booking Gateway tab on the Appointment Book tab on the patient file. This allows patients to be linked so that a patient with a Patient Booking Gateway login can make appointments on their behalf. This is useful for families as it will allow parents to book appointments for their children. - Added "Allow first appointment to be made via Patient Booking Gateway" option to the Defaults tab in Patient Booking Gateway Configuration. This option is turned off by default. - Added two new email templates - Your Future Appointments, and Your Future Classes. SMS REMINDERS - Added the ability to set up standard SMS replies which will automatically change the patient's appointment status. E.g. Front Desk can be set up to change the appointment status to "Confirmed" if the patient replies "yes" to their reminder. This can be configured by selecting Standard SMS Replies from the System menu. PAYMENTS - Added "Rebate Only" to the payment options on the Payment screen. EMAIL - Improved compatibility with Office 365 when sending emails using MAPI. CLINICAL NOTES - Added an "Auto Fit" button to the toolbar for Charts. When this is turned on Front Desk will stretch the image to fit the available area. Previously, this was the default behaviour. Turning off Auto Fit improves the accuracy of the drawing tools. Front Desk will remember the Auto Fit setting for each note. - Added "Auto Fit Chart images by default" to the Clinical Notes tab in System Information. This is turned off by default. 16.1.0 iCALENDAR INTEGRATION - Added iCalendar integration to the Front Desk Web Appointment Book. iCalendar is a common calendar format used by many calendars over different platforms and operating systems. This integration allows a practitioner's appointments to be viewed on compatible applications, such as (but not limited to) Microsoft Outlook and Apple Calendar (iPhone, iPad and Mac OS). Once this has been set up, the appointments are regularly synced to your external calendar application. - iCalendar settings can be found on the Appointment Book tab of the Practitioner file. - Note: iCalendar synchronisation is one-way only; changes made to appointments in external applications are not synced back to the Front Desk Appointment Book. - Limitations: currently Google Calendar is not supported as it uses a slightly different format. EVENTS REPORT - When exporting the Events Report to Excel, in some cases the patient's date of birth was exported incorrectly. Fixed. 17.0.6 PATIENT BOOKING GATEWAY - In certain circumstances it was possible for appointments made via the Patient Booking Gateway to overlap existing appointments or rule-outs in the Appointment Book. Fixed again. - When booking appointments via the Patient Booking Gateway for practitioners with multiple Appointment Book columns, the earliest available appointment slots weren't always selected. Fixed. INSTALLER - In some versions of Windows, .NET Framework would fail to install. Fixed. SMS - When an SMS delivery failure notification was received by Front Desk, a blank reply was displayed underneath the failed SMS on the patient's SMS tab. Since 17.0.2. Fixed. 17.0.4 REGISTRATION - Some users experienced problems with Front Desk registration after upgrading to version 17.0.3. Fixed. 17.0.3 PATIENT BOOKING GATEWAY - In certain circumstances it was possible for appointments made via the Patient Booking Gateway to overlap existing appointments in the Appointment Book. Since 17.0.0. Fixed. PRINT APPOINTMENTS - When printing a patient's appointments, if appointments for more than one practitioner were included on the printout, a custom practice group header wasn't printed even if all practitioners were in the same practice group. Fixed. INVOICES - In rare circumstances, when printing an invoice for multiple linked patients from the main biller, if a patient had enough "Print on Account" details to require two or more client header lines to be printed, it was possible for an item to not be printed on the invoice. Fixed. 17.0.2 EMAIL - A recent update to Outlook 2016 caused an issue sending emails via MAPI from Front Desk. Errors would occur when attempting to send more than one email. Fixed. 17.0.1 LETTER TAGS - The <> letter tag wasn't working, except when sending SMS/Email reminders from the Appointment Book and filtering by Practice. Since 17.0.0. Fixed. 17.0.0 GROUP APPOINTMENTS - When scheduling recurring group appointments for a practitioner with multiple columns, if the practitioner had rules set up to prevent appointments from being scheduled in the second (or higher) column, and if the group appointment being made covered multiple appointment intervals, Front Desk wouldn't allow the group appointments to be scheduled. Fixed. 16.9.16 EVENTS - On the patient's Events tab, an error would occur when attempting to sort events by clicking on the Note column header. Since 16.9.14. Fixed. 16.9.15 MEDICARE EASYCLAIM - On systems with Medicare Easyclaim enabled, the Email options weren't displayed on the Receipt window. Since 16.9.14. Fixed. - On systems with Medicare Easyclaim enabled, the Easyclaim, Print and Email options weren't displayed on the Billing window. Since 16.9.14. Fixed. APPOINTMENT BOOK - When using more than one In-Queue Status, patients with appointments with the same practitioner at the same time were not displayed in the correct order in the Practitioner Queue. Since 15.4.1. Fixed. 16.9.14 TRANSACTIONS EXPORT - An error would occur when exporting a patient's transactions (using the Export button on the Transactions tab) to Excel, if the patient's name was longer than 31 characters. Fixed. APPOINTMENT BOOK - SMS reminders were being displayed in the appointment tooltips on a single line, meaning that long SMS reminders could cause the tooltip to be wider than the Front Desk window. Since 16.9.10. Fixed. CLINICAL NOTES - When printing Clinical Notes, if "Current Record Only" was unticked, Clinical Notes for all practitioners would be printed, even if the current user didn't have access to their notes. Fixed. - In some cases Clinical Notes with custom indents would display correctly but weren't printable. Fixed. EMAIL - Very long emails (longer than 8000 characters) weren't being recorded on the patient's Events tab. Fixed. SMS REMINDERS - When sending an SMS reminder for a member of a group appointment by opening the group appointment, right-clicking on a patient, and selecting "Send SMS", in some circumstances the wrong appointment time could be included in the SMS. Rare. Fixed. ATTACHMENTS - When adding a multi page TIFF image to Attachments, Front Desk would ask to optimise the image, which would convert it to a JPEG, causing only the first page of the image to be saved. Front Desk will now detect multi page TIFFs and won't try to convert them to JPEG. 16.9.13 PATIENT VISIT REPORT - An error could occur on some computers when attempting to run the Patient Visit Report. Since 16.9.12. Fixed. 16.9.12 PATIENT EVENTS REPORT - An error would occur if the user attempted to select By Practice, By Event Type, or Patient Tracking when running the Patient Events Report. Since 16.9.10. Fixed. SMS REMINDERS - When sending an SMS by opening a Group Appointment, then double-clicking on a patient's name, then clicking the SMS button on the patient's file, if the <> letter tag was used, in extremely rare cases the wrong appointment time could be sent. Since 16.9.0. Fixed. - When sending a batch of SMS messages, if the user clicked Cancel, clicking No to cancel the cancellation would then continue to ask to confirm the cancellation for every message in the list. Fixed. - The <> letter tag, when used from the SMS / Email Reminders window, was displaying the date and time in a format inconsistent with the rest of the date time letter tags in Front Desk. Fixed. EMAIL REMINDERS - When sending a batch of emails, if the user clicked Cancel, clicking No to cancel the cancellation would then continue to ask to confirm the cancellation for every message in the list. Fixed. DAY LIST - When printing a Day List for a single practitioner, if the "Include Empty Timeslots" option was selected, and if the practitioner's name + location exceeded 50 characters, the Day List would print incorrectly. Rare. Fixed. 16.9.11 PATIENT FILE - On computers which had had their patient file tab order changed, if the Events tab had been made the last tab on the patient file, an error would occur after opening the patient file. Since 16.9.10. Fixed. 16.9.10 APPOINTMENT BOOK - The Messages tab wasn't consistently automatically refreshing itself when new messages were received. Since 14.5.0. Fixed. PATIENT BOOKING GATEWAY - It was possible to process the same guest booking twice (on the same computer, if the Appointment Book Messages didn't refresh immediately after processing, or on different computers if two people simultaneously processed the same guest booking). This could cause a patient file to be created without a billing account. Fixed. WINDOWS 10 - On some Windows 10 PCs, Front Desk would occasionally remain in Background Processes after closing, which would prevent the program from being reopened. Fixed. FRONT DESK MESSENGER - The Default Message Sound and Default Priority Message Sound options weren't working. Since 16.9.7. Fixed. - If Front Desk Messenger was minimised to the system tray, but Stay On Top wasn't enabled, attempting to open it from the Front Desk toolbar icon didn't work. Fixed. SMS - If Front Desk was unable to connect to the SMS server when attempting to send SMS, a message would be displayed informing the user that they had zero balance. Fixed. - If Front Desk was unable to connect to the SMS server when clicking the "Get Balance" button on the Group SMS window, an error would occur. Since 15.5.0. Fixed. CLINICAL NOTES - When using old-style Clinical Notes, if a note was modified, and then the user clicked away to another window while the note was still open, on returning to the note it could be replaced with some control code. Rare. Fixed. 16.9.9 FRONT DESK MESSENGER - It wasn't possible to restore Messenger from the System Tray by clicking the Front Desk Messenger icon in the Front Desk toolbar. Since 16.9.7. Fixed. CLINICAL NOTES - When using Quick Buttons, if the text inserted contained multiple lines the cursor would be incorrectly positioned after clicking the button. Fixed. GROUP APPOINTMENTS - If a Group Appointment was in a column with "override practitioner" enabled (i.e. when the Appointment Book is set up for Rooms), in some circumstances, when changing the practitioner for the Group Appointment the wrong practitioner would be displayed in the drop-down list. Fixed. PATIENT BOOKING GATEWAY - In multi-location practices with classes enabled, if all class types were disabled for the entire practice, but enabled for individual patients, it wasn't possible for those patients to book into available classes. Since 16.9.7. Fixed. 16.9.8 GROUP APPOINTMENTS - An error would occur when adding or editing a group appointment on the 29th of February. Fixed. 16.9.7 PATIENT BOOKING GATEWAY - If a patient created a guest account via the Patient Booking Gateway, and then requested a password reset, if the clinic then attempted to delete the patient the deletion would fail. Attempting to process this patient as a new patient would then result in a patient being created with no accounts. Fixed. - When booking into classes, if any practitioners at a location had been made available for the Patient Booking Gateway, classes for all practitioners at that location would be displayed. APPOINTMENT CANCELLATION EMAIL NOTIFICATIONS - The patient's next appointment wasn't included in the cancellation notification emails. The email would incorrectly say that the patient had no future appointments. Since 16.9.5. Fixed. APPOINTMENT SCHEDULER - It wasn't possible to use the Appointment Scheduler to make appointments outside the main Appointment Book time range. This would cause problems if the appointment start and end times had been modified for a practice group to fall outside the main Appointment Book times. Fixed. TYRO HEALTHPOINT REPORT - Benefit amounts were displayed on the Tyro HealthPoint Report for voided claims. Fixed. 16.9.6 MEDICARE / DVA ONLINE CLAIMING - Submitting a claim for a patient with an apostrophe in their name would result in an error. Fixed. APPOINTMENT SCHEDULE - When printing an appointment schedule, if the calendar was printed on any page other than the first page, some of the labels were misaligned. Fixed. 16.9.5 TYRO HEALTHPOINT - When claiming multiple items through Tyro Healthpoint via the Billing or Payment windows, if the rebate didn't pay off the amount in full and a gap payment was taken, the gap payment was being allocated incorrectly across the multiple items. Fixed. APPOINTMENT CANCELLATION EMAIL NOTIFICATIONS - When removing a patient from a series of recurring Group Appointment, if the Group which was opened was in the future, an appointment cancellation email wasn't sent. Fixed. - When deleting an appointment from the Appointments tab on the patient file, appointment cancellation emails weren't being sent. Since 16.9.4. Fixed. PAYMENTS - The print and email options on the Payment window weren't retained after making a change to either of them. Since 16.5.0. Fixed. DAY LIST - When the "Group by Practitioner" option was selected in the Day List, the addresses of patients whose appointments were made via the Patient Booking Gateway weren't printed. Fixed. 16.9.4 CLINICAL NOTES - If an image was placed in a table, if the image was edited, after closing the image editor the text in the table would be selected. Fixed. 16.9.3 HICAPS INTEGRATION - If a HICAPS transaction was successfully sent through Front Desk, and then cancelled as part of the same transaction (from the Payment or Billing windows), immediately putting through a manual payment would cause the payment to be recorded incorrectly. Fixed. iCALENDAR INTEGRATION - If a Web Appointment Book URL beginning with "https://" had been entered in System Information, when enabling iCalendar integration for a practitioner Front Desk would still prefix the URL with "http://". Since 16.1.0. Fixed. 16.9.2 FRONT DESK MESSENGER - When using Global mode, it wasn't possible to log in to Front Desk Messenger for Front Desk users with usernames longer than 5 characters. Since 16.9.0. Fixed. - If a message was received while typing a message, the entire text of the message being typed was highlighted. Since 16.9.0. Fixed. 16.9.1 PATIENT BOOKING GATEWAY - When sending Patient Booking Gateway bulk emails some of the filter options weren't displayed correctly, making them unusable. Since 16.9.0. Fixed. 16.9.0 TYRO - For Tyro claims processed through the Payment option on the patient's file it wasn't possible to view transactions linked to those claims from the Tyro Transactions window. APPOINTMENT BOOK - When creating a new patient file by double-clicking on the Appointment Book then clicking New, the cursor wasn't being positioned in the Full Name field. Fixed. APPOINTMENT BOOK RULES - When editing an Appointment Book Rule, even if no changes had been made, closing the form would prompt the user to save changes. Fixed. APPOINTMENT BOOK EXPORT - When exporting the Appointment Book to Excel, if the date range included different practitioners working on different days, they weren't exported correctly. Since 16.5.2. Fixed. CLINICAL NOTES - On clinical notes templates with a lot of drop-down fields, if some fields had been deleted, it was possible that when adding a new drop-down field and clicking "Cancel" without adding any items it could be populated with items from a different drop-down field. Fixed. SMS - When sending SMS reminders, if an SMS failed to go out (for instance if the patient had an invalid mobile number on their file), in some circumstances an SMS would still be recorded as having been sent on the patient's Events tab. The SMS Reminder flag would also be removed from the appointment. Since 15.4.0. Fixed. - When sending SMS Reminders, in some circumstances the "Checking Message Length" progress bar would be displayed before and after the SMSs were sent. Since 16.8.0. Fixed. 16.6.0 GROUP APPOINTMENTS - When editing a recurring group appointment, if the details of one of the patients in a group was changed, that patient would be added to all future group appointments in the schedule including groups they had not previously been a member of. Fixed. APPOINTMENT BOOK - Appointment statistics for practitioner columns could be incorrect when the column included group appointments, and where the practitioner was overridden. Fixed. - If no default standard item code had been set up for a practitioner, when using Make Next Appointment from an appointment with the default initial appointment type the following appointment would have an empty item code. Fixed. TYRO - It wasn't possible to process EFTPOS payments through the Tyro terminal for practitioners without provider numbers. Fixed. 16.4.0 MEDICARE / DVA ONLINE CLAIMING - In rare circumstances it was possible to have an invalid lodgement date returned by Medicare / DVA. In these cases the date in Front Desk was being recorded as 30/12/1899. Front Desk will now prevent this from happening. 16.3.0 RECEIPTS / ACCOUNTS / INVOICES / STATEMENTS - For unlinked patients, the date of birth wasn't being printed on receipts, accounts, invoices or statements. Since 16.2.2. Fixed. SUMMARY REPORT - The HICAPS / HealthPoint figures on the Banking Summary Report were only displaying HICAPS or HealthPoint totals instead of summing them. This only affected users who have used both HICAPS and Tyro integration. Since 16.2.0. Fixed.
